Creating a Performance Review Strategy for Your Clerical Team

Performance reviews as we know them are going through a major transformation. In February, we discussed the changing landscape of these annual assessments. As they’re now conducted more than once per year, employees no longer dread them and the process has become much more laid-back. Now that it’s time to conduct performance reviews for your clerical team, learn how to apply this new philosophy to create a strategy that’s more effective than ever.

Make it a Two-Way Conversation

Traditionally, performance reviews mostly consisted of the boss talking at each employee; however, you want to establish a different dynamic with your administrative professionals. Prior to the meeting, let each employee know you want their feedback and expect them to be prepared with questions, comments and ideas to enhance their career.

Create S.M.A.R.T. Goals

It doesn’t take much effort to set vague goals, but the high volume of grey area in these objectives makes them very difficult to accomplish. Work with each clerical employee to set S.M.A.R.T. — specific, measurable, achievable, realistic, and time-bound — goals so you’re on the same page. For example, instead of asking your administrative assistant to learn how to type faster, set a specific goal of learning to type at 65 wpm in the next 90 days.

Define a Path Towards Advancement

Many clerical workers are committed to the job for their entire career, while others use it as a stepping stone to gain experience for another position. Find out what your administrative professional wants their future to be and help them create a plan to get there. This is a great way to boost job satisfaction levels and decrease turnover rates because employees want to work for a company that truly cares about their happiness.

Schedule Regular Follow-Ups

As previously discussed, checking in with your clerical staff annually is nowhere near enough to make sure they’re happy and on the right track. At minimum, put quarterly meetings on the calendar to check in with each of your administrative workers and see how they’re progressing. A year is a long way out to set goals, so this is a great time to touch base and make sure these objectives are still appropriate, and if not, make the necessary adjustments.
